Workday and SAP SuccessFactors are the two most-evaluated enterprise HRIS platforms. They look similar on a feature scorecard and produce wildly different outcomes 18 months post-go-live. This guide compares them on the dimensions that actually decide the fit.

Architecture

Workday runs every customer on a single in-memory codebase with two annual updates. SAP SuccessFactors is modular — Employee Central is one codebase, but Recruiting (Jobs2Web), Learning (Plateau) and Onboarding still show seams from the pre-acquisition products. Workday wins on architectural coherence; SuccessFactors wins on flexibility for SAP-centric stacks.

Integration with finance

If your finance system is SAP S/4HANA or SAP ECC, SuccessFactors integration is tighter than anything a third party can offer — same master data model, same vendor support contract. If finance is Workday Financials, Oracle, NetSuite or anything else, that advantage disappears and Workday HCM almost always wins.

User experience

Workday's UI is consistently rated higher in Gartner Peer Insights and G2 reviews. SuccessFactors has narrowed the gap with its Latest Home Page redesign but still has more clicks-to-task on common workflows.

Release model

Workday: two major releases per year (R1 March, R2 September) plus weekly service updates. SuccessFactors: quarterly releases. Workday's mandatory-update model is a feature for customers who want to stay current and a bug for customers who want to defer change.

Pricing

Both are roughly $100–$200 per employee per year for the HCM suite. SuccessFactors deals tend to be bundled with broader SAP RISE or GROW agreements that change the effective economics. Workday deals are typically standalone.

Implementation cost & duration

Both run 12–24 months for large enterprise. Workday partner ecosystem (Deloitte, Accenture, Kainos, Alight, IBM) is more standardized. SuccessFactors implementations vary more by partner and module set.

Verdict

Pick SAP SuccessFactors if you're already on SAP S/4HANA and the integration cost outweighs the UX gap. Pick Workday for everything else.
